You are an energetic, positive and experienced Personal Assistant (PA) looking to be a vital cog in our exciting start-up's wheel. Your organisational skills are second-to-none and you thrive in a fast-paced, rapidly changing environment. You enjoy admin, problem solving and are well able to roll your sleeves up and get stuck in – no matter what needs to be done.  Your colleagues describe you as smart and approachable; while the CEO needs you to be personable, reliable and trustworthy.

WHAT THE ROLE ENTAILS

  • Managing an extremely active calendar of appointments 

  • Controlling access to the CEO’s office  

  • Acting as a first point of contact, dealing with correspondence and phone calls 

  • Booking and arranging travel, transport and accommodation 

  • Organising events and conferences 

  • Reminding the CEO of tasks and deadlines 

  • Typing, compiling and preparing reports, presentations and correspondence 

  • Managing databases and filing systems 

  • Implementing and maintaining procedures/administrative systems 

  • Liaising with staff, suppliers and clients 

  • Collating and filing expenses 

  • Adhering to all internal policies and procedures, maintaining confidentiality at all times 

  • Miscellaneous tasks to support the CEO on a daily basis 

 

WHAT SKILLS AND EXPERIENCE WE NEED YOU TO HAVE

  • Experience of supporting executives in a fast-paced environment, demonstrating a ‘can do’ attitude and adopting agile working practices 

  • Able to organise self, including effective scheduling, prioritisation and time management skills 

  • Excellent calendar management skills with experience of co-ordinating complex executive meetings for global teams/working across time differences 

  • Experience with Microsoft Office with emphasis on PowerPoint, Word & Excel  

  • A resilient and adaptable style, with a track record of remaining calm in demanding circumstances, adjusting comfortably to changing conditions/priorities 

  • Strong attention to detail and data accuracy 

  • Excellent interpersonal skills; displaying an awareness of dealing with sensitive issues and/or confidential information 

  • A passion for self-improvement and making a positive difference in the world
